JP Tuition holds personal information and is committed to ensuring your personal information is protected. This policy aims to explain what information is collected about you and your child and how it is used.

How your information is collected

Information about you is collected when you make enquiries, register or enter a contract for tuition with JP Tuition. This can be through the website, email, post or telephone. When you enrol information is collected about you and your child via, email, calls and discussions with you.

The type of information held

The type of information held includes:

  • Personal information – name, address, gender, contact number, email address, date of birth, school, reason for interest in tuition

  • Financial Information – bank account details, payment history, invoices

  • Academic records – student test, assessment scores, progress sheets, report records

  • Medical History – if your child has a medical condition which may affect them during the learning session

How the information is used

Your information is used in the following ways:

  • To contact you – to provide you with the information you requested, register the interest you have shown in JP Tuition, to conduct research of service, to inform of new services being provided by JP Tuition

  • To enrol your child – to fulfil the contract between us to provide tutoring

  • Process bank payments – for the payment of the tutoring services which fulfil the tutoring contract between us

  • Process your child’s information and academic records – to fulfil the tutoring contract between us

  • Process your child’s medical history – to ensure they provide the appropriate care and response to any emergency

How accurate is the information?

To ensure all records are accurate, there will be times when you will be asked to check your personal information so it can be amended and kept up to date. Should any of your personal information change please notify the Privacy Officer at jennifer@jptuition.com.

Who is your information shared with?

JP Tuition does not share personal information with any outside organisation unless legally required to do so.

Storing your information

Your personal information will be stored on systems owned by JP Tuition. Any personal information kept on paper will be kept in locked storage.

Retention

Your personal information will be kept in accordance with legal and regulatory requirements.

Engagement

When your data will be deleted:

Requested information. No further interaction for a period of 12 months. Data deleted.

Entered into a contract for tutoring services. At the end of your contract. Your child’s personal data, including report records, will be kept for 7 years. 

Academic records. General academic records are deleted at the end of your child’s contract. 

Financial records. At the end of your contract. Financial records will be kept for 5 years.

Medical information for your child. Deleted at the end of the contract

Accident records / Administration of medicine records. Records will be kept for at least 21 years. 

How can you access your information?

You have the right to request access to the personal information JP tuition holds about you and your child. To make a request, please contact the Privacy Officer at jennifer@jptuition.com

Your rights

You have the right to:

  • Be informed – Know what personal information is held about you and how it is used

  • Have access – request a copy of the personal data being held on you

  • Rectification – having inaccurate data corrected

  • Erasure – being able to ask for your data to be deleted/destroyed. Please note, there are times when legal requirements require records to be maintained.

  • Restrict processing – limit the amount or type of data used

  • Object – able to request you stop using their data

Marketing

You have the right for your personal information not to be used for marketing. You can request for information not to be used for this by checking certain boxes on the forms used to collect your data. You can also request the right in writing or by emailing the Privacy Officer at jennifer@jptuition.com.

Should you be unhappy with how your information is being used or how your request is responded to you have the right to complain to the Information Commissioner’s Office at www.ico.org.uk.

Affiliates and recommended links

At times JP Tuition may recommend a link to a website or an affiliate. Should you follow these links, please note they have their own privacy policies and JP Tuition does not accept any liability for these policies. Please check these policies before you submit any personal information.

Children 16 or under

The protection of children’s privacy is paramount. Children should always ask a parent or guardian’s permission before sharing personal data.
